Policies For Paying Member Dues

The following policies apply to all Fraternity & Sorority Life (FSL) organizations. Please read carefully, these procedures are required for all groups when paying chapter dues to national organizations.


Key Policy: All Dues Must Be Paid in One Lump Sum from ASSU Accounts

  • Required: Member dues must be paid as one giant lump sum directly out of your group’s ASSU account.

  • Not Allowed:

    • Dues cannot be paid from your group’s external bank account.

    • Individual reimbursements will not be processed if dues are paid from a personal credit card.

  • All payments to Nationals must come directly from the ASSU account.


Collecting Member Dues

To consolidate member dues for a lump-sum payment:

  1. Each student should use ASSU ePay to pay their portion into the group’s ASSU account.

  2. This ensures funds are deposited centrally and properly recorded for group use.

Making the Lump-Sum Payment to Nationals

  • Once all member payments have been collected in your ASSU account, the group must attend FSL Office Hours at the SSE office. (See our Office Hours here: https://www.assu.stanford.edu/finances/payments/help)

  • The External Manager will sit down with you to:

    • Process the lump-sum payment using the designated ASSU credit card for member dues

    • Ensure all documentation is complete and properly tracked


Opportunity Fund (Opp Fund) Support

  • For students eligible for Opportunity Fund support, funds will be transferred directly into the group’s ASSU account.

  • This way, eligible students do not need to front their dues payments, and the group can include those funds in the lump-sum payment to Nationals.


Why This Policy Matters

  • Prevents students from paying large dues amounts out-of-pocket.

  • Eliminates the need for personal reimbursements.

  • Ensures compliance with ASSU and University financial policies.

  • Provides consistent documentation and financial transparency for all groups.


Summary:
All FSL member dues must be collected via ASSU ePay, deposited into the group’s ASSU account, and paid as a single lump sum to Nationals using the designated ASSU credit card during FSL Office Hours. No payments may come from external group accounts or individual student credit cards.
