Student Organization Registration & Financial Management

All student organizations registered with the Office of Student Engagement (OSE) — formerly known as Student Activities and Leadership — are required to conduct their financial activities through SSE Capital Group.

Annual Re-Registration Requirement

All student organizations must re-register with OSE each academic year in order to maintain their active status.
Re-registration is required to:

  • Retain eligibility for ASSU and University funding

  • Apply for grants for the upcoming year

  • Continue accessing financial services through SSE Capital Group

Please be on the lookout for OSE’s re-registration announcements each spring, as missing the re-registration window may temporarily suspend your group’s access to funding and University privileges.

Why Register with the Office of Student Engagement?

Registering your student organization with OSE grants your group access to a wide range of University privileges and resources, including:

  • Use of the Stanford name and logo

  • Access to University facilities

  • Audiovisual and technical support services

  • An official listing in the Stanford Directory

  • University web hosting

  • Coverage under University insurance

  • Eligibility for University and ASSU funding

  • Permission to host one benefit fundraiser per year

  • Advising and consultation from OSE, ASSU, and other campus offices

  • The ability to publicize events on campus

  • Complimentary financial management services provided by SSE Capital Group

Why Must Registered Student Organizations Use SSE Capital Group?

The ASSU/SSE operates as a 501(c)(3) nonprofit charitable organization.
This designation means that:

  • ASSU/SSE is tax-exempt and can receive tax-deductible donations.

  • To maintain this status, ASSU/SSE must demonstrate that no earnings benefit private individuals or shareholders.

  • SSE Capital Group ensures compliance by maintaining detailed and transparent accounting records for all ASSU/SSE accounts, including those of registered student organizations.

  • SSE Capital Group also ensures proper accounting of student fee money, in accordance with federal law governing its use.

Therefore, to preserve the University’s nonprofit status and ensure compliance with tax regulations, all registered student organizations are required to manage their financial activities through SSE Capital Group.

What Happens If My Organization Does Not Register with OSE?

Unregistered student organizations are not eligible for any of the privileges listed above.

Additionally, if your organization chooses to operate independently, it must:

  • Apply for and maintain its own 501(c)(3) nonprofit status

  • Conduct its own annual audit and tax filings

  • Handle all financial compliance and reporting responsibilities
