Processing Sponsorship Deposits for Your Student Organization

Receiving financial support from sponsors is a great way to help fund your student organization’s activities. To ensure that all sponsorship funds are processed properly and in accordance with university policies, please follow these steps:

1. Obtain Approval from OSE for the Sponsorship

Before accepting any donation or sponsorship, you must first receive approval from the Office of Student Engagement (OSE). Review the OSE Campus Fundraising Guidelines to ensure your sponsorship complies with Stanford’s policies.

2. Choose a Deposit Method

Once your sponsorship has been approved by OSE, you can process the deposit using one of the following methods:

  • Preferred Method: ASSU ePay (assuepay.stanford.edu)

    • This is the recommended and most efficient method for receiving electronic payments from sponsors.

  • Alternative Method: Check

    • If your sponsor cannot use ePay, checks are accepted.

All non-university sponsorship funds will be deposited into your organization’s 2800 account.

3. Preparing a Check for Deposit

If your sponsor is sending a check, it must be made out as follows:

Payable to:

ASSU - [YOUR VSO NAME]

Example:

ASSU-Healing Strokes

Please encourage sponsors to include your group’s name clearly on the check to avoid delays in processing.

4. Submitting the Check

There are two ways to submit a check:

  • OFFICE:
    Old Union, Suite 103
    520 Lasuen Mall
    Stanford, CA 94305

  • PO Box:
    Associated Students of Stanford University
    531 Lasuen Mall
    P.O. Box 19327
    Stanford, CA 94305

Important: If a check is being mailed, email banking@sse.stanford.edu to notify the ASSU that a deposit is on its way.

Following these steps will help ensure your organization receives funds efficiently and stays in compliance with university policies. For any questions, contact OSE or banking@sse.stanford.edu for support.
